QuickBooks Write Back Setup

 

QuickBooks customization is not part of no-charge phone support.

 

The first step is to open the invoice template to customize it.  (The steps for this vary slightly based on the version of QuickBooks you run.)  Usually you can select Lists | Templates and then double click on the invoice (or sales transaction) template you want to modify.

 

Remember that all the templates you use need this customization. Most businesses use a single template, and this can be done just once.

 

The steps here show customizing an invoice. The steps are the same for a Sales Order.

 

 

In these steps we will start from the Invoice screen, open with the template we use. We press the Customize button.:

 

 

 

And then we press Customize again:

 

 

 

In the Customize Invoice screen, go to the Fields tab, and set it as shown below:

 

It is not required to use the 'Other' field. Any field can be used that is both on screen and printable, and that is long enough.

 

 

 

 

At this point, the system is set to save the tracking # to the invoice. To print the tracking number on the printed invoice we use the Layout Designer (note the Layout Designer button on the screen shot just above):

 

 

 

The last step is to set ShipRush to perform the Write Back action. From the ShipRush System Tray icon select Settings | Program Settings and press the CM button. Then set it as shown:

 

 

Note that we have also changed the tracking number prefix. This needs to be kept short so that the prefix + tracking number will fit into the invoice field. The 'Other' field in QuickBooks 2006 is 28 characters long. Long enough for the configuration shown.

 

Now when a shipment is done against this invoice, the print out will look like this:
